Old Business

  • Review Revised HVAC Bids
    • Don Vaugn Inc - $49,500 reduced to $35,000 Removing electrical, removing bond, reduced scope of gas piping work to focus only on needs for new heaters.
    • River City Mechanical - $50,745 reduced to $33,640 Removing electrical, removing bond, reduced scope of gas piping work to focus only on needs for new heaters.
    • Both had the same lead time on materials, start time, and both have a similar history in the community. (2 to 3 week lead time on heaters)
    • With a November 15th completion date, both would need the full amount paid by early December.
    • Rustin asked: Did either offer a warranty? Nothing in the bidding contracts indicates that, just that the work will be done to pass inspection. We would inherit the warranty on the heaters.
  • Kickstarter - Doug will work on the timing and it should match up well with the timing to pay the HVAC contractor. We have almost the entire $33,000 on hand otherwise. Will set the campaign amount to match the bid amount on the HVAC.
    • Estimated delivery December, but memberships wouldn’t start till we open. Proposed goal for the campaign is $35,000. Transferable but non-refundable.
    • Proposed award levels for the Kickstarter:
      • Small Support Level $25 - some small cost-recoverable item like a button, sticker, t-shirt, etc.
      • Six Month Pledge $150 (no discount)
      • One Year Pledge $300 (no discount) with a t-shirt
      • Three Year Pledge $750 ($150 Total Savings) with a t-shirt
      • Five Year Pledge $1,200 ($300 Total Savings) with a t-shirt
    • Paula moves to authorize the Kickstarter as presented by Doug with a goal of $35,000 and the levels proposed: Small Support Level $25 - some small cost-recoverable item like a button, sticker, t-shirt, etc., Six Month Pledge $150 (no discount), One Year Pledge $300 (no discount) with a t-shirt, Three Year Pledge $750 ($150 Total Savings) with a t-shirt, Five Year Pledge $1,200 ($300 Total Savings) with a t-shirt. The launch date will be October 10th and the funding deadline will be October 31st. Kate seconds. 7 votes in favor, none against.
    • @DECISION: Board authorizes a Kickstarter campaign to fund building expenses.
  • GoFundMe - Kate needs to work with the help desk there to get our bank account setup to transfer the funds, a little over $3,000.
  • Brief Financial Update - Recurring monthly expenses currently are around $3,000 and membership dues income is about $5,500. Have outstanding expenses to MEI, they are not expecting payment till the project is finished.
  • Paula moves that we accept the bid from Rivercity Mechanical in the amount of $33,640. Kate seconds. 7 votes in favor, none against.
  • @DECISION: Board accepts HVAC bid from Rivercity Mechanical.
  • Jai will discuss with the contractor after hire what they need from us while they are working insofar as space, moving things, cleaning, etc. and will communicate that back with everyone. The contractor has been in the building and knows what that state of it is.
  • Jai will find out how many keys they would need and get that to Security to issue a key card.
  • Electrical Bid Update
    • Went out Friday.
    • Two walk-thrus scheduled tomorrow.

New Business

  • SG County is allowing non-profit / social service organizations to apply for the PPE equipment packages that they were previously only offering to small businesses.
  • Jai moves to allow June Huie to seek PPE materials from Sedgwick County for the Makerspace. Tom seconds. 6 vote in favor, none against. Scott left the call.
  • @DECISION: Board moves to pursue PPE materials from the County.
