Infrastructure Committee Policy

The Security and IT Committees function as Infrastructure Committees, managing critical systems, sensitive member data, and facility security. Due to the specialized nature of these responsibilities, the following policy applies to these committees specifically.

Infrastructure Committee Membership Process

These committees shall:

  • Maintain a documented application process for interested members, to be approved by the board
  • Publish this process on their committee wiki page
  • Apply additional vetting for new members appropriate to their access level

New Members

Members interested in joining infrastructure committees should attend one of the meetings posted to the calendar (see below).

Meeting Structure

These committees shall hold monthly meetings open to all members, posted on the public calendar, to discuss the following:

  • General updates
  • Project status
  • Member questions

They may reserve sensitive operational discussions for separate closed working sessions at their discretion.

Documentation and Reporting

These committees shall:

  • Maintain documentation of their processes and procedures on the wiki, excluding sensitive security information
  • Provide clear instructions for how members can apply to join
  • Submit monthly reports to the board on activities, membership changes, and significant decisions

Board Oversight

  • Failure to abide by the rules in this policy will trigger a review of the committee by the board.
  • The board shall annually review Infrastructure Committee membership processes.
  • Any significant changes to committee procedures require board approval.
